Avents Plus was pleased to contribute to the technical and operational delivery of the Regional Workshop on Responsible AI Governance in the Arab States, held in Manama, Bahrain, on 16–17 September 2026.
The two-day workshop brought together representatives of governments, national human rights institutions, the private sector, civil society, and regional and international organizations. Discussions focused on translating responsible artificial intelligence governance principles into practical approaches that respond to the priorities and contexts of the Arab region.
The workshop was organized by the National Institution for Human Rights in the Kingdom of Bahrain, the United Nations Development Program, and the Arab Network for National Human Rights Institutions, in partnership with the Arab Information and Communication Technologies Organization.
Technical Preparation for a Regional Workshop
Successful regional conferences and workshops depend on more than the equipment visible inside the venue. They require careful planning based on the event agenda, coordination between different teams, advance system testing, and reliable technical support throughout the program.
Avents Plus contributed to the audiovisual and technical preparations across the workshop spaces. The setup was planned to support presentations, moderated discussions, participant engagement, and virtual contributions throughout the two-day program.
Our scope included conference AV preparation, sound and presentation support, video conferencing assistance, technical testing, and onsite support during the sessions.
Before the workshop began, the technical team reviewed the program and tested the required systems to help ensure that presentations, discussions, and remote contributions could proceed smoothly.
Supporting In-Person and Remote Participation
Hybrid events require careful coordination between the venue and online participants. Clear audio, suitable camera positioning, reliable presentation sharing, and active technical monitoring are essential for creating an effective experience for everyone involved.
For this workshop, the technical arrangements were prepared to support both in-person sessions and virtual participation. The Avents Plus team assisted with the video conferencing requirements and monitored the connection between the physical workshop spaces and remote contributors.
This preparation helped speakers and participants communicate effectively while allowing the program to move smoothly between presentations, group discussions, and online contributions.
Clear Sound and Professional Presentation
Sound clarity is one of the most important elements of any conference or workshop. Participants need to hear speakers clearly, while remote attendees must receive consistent audio without unnecessary interruptions or feedback.
The audio requirements were arranged according to the room layouts and session formats. Presentation displays were also prepared to ensure that speakers’ materials remained clear and visible to participants throughout the workshop.
By coordinating the sound, visual presentation, and video conferencing elements as one complete AV system, the technical team was able to respond efficiently to the requirements of each session.
Onsite Technical Support Throughout the Event
Even a well-prepared event requires active technical supervision. Program changes, different presentation formats, remote speakers, and transitions between sessions can all require immediate assistance.
Avents Plus technicians remained available onsite to monitor the audiovisual systems, support presenters, assist with virtual participation, and manage the technical transitions required during the program.
Our approach is to understand the event agenda before selecting or installing equipment. This allows the technical setup to support the actual flow of the event rather than treating each piece of equipment as a separate rental item.

The workshop addressed important issues surrounding transparency, accountability, inclusion, non-discrimination, and the protection of human rights throughout the lifecycle of artificial intelligence systems.
