Plan the technical setup before you request a quote

Planning a corporate conference, government workshop or product launch in Riyadh, Jeddah or Dammam starts with a clear technical brief. The screen, microphones, presentation files and event schedule need to work together so speakers can present confidently and guests can follow the programme.

This checklist helps procurement teams, corporate organisers and venue teams explain what they need before requesting an event production proposal.

1. Define the programme and audience

Share the event purpose, date, city, expected attendance and draft agenda. Explain whether the programme includes keynote presentations, panel discussions, signing ceremonies, audience questions or remote speakers. These details affect the stage layout, microphone plan, display setup and technical staffing.

Identify the person who will approve the technical scope and the person who will coordinate changes during the event. A single agreed brief helps the venue, production team and organiser work from the same information.

2. Check the venue before choosing equipment

Provide the venue name, room layout, stage dimensions and seating arrangement. Ask the venue about loading access, setup and dismantling times, electrical supply, internet availability and any restrictions on equipment placement.

Confirm what the venue already provides and what an external production team must supply. Request a site visit or a review of the venue drawings when the setup is complex. Equipment choices should reflect the actual room and access conditions.

3. Plan the LED screen and presentation workflow

Decide what the audience needs to see: speaker slides, branding, live camera images, videos or a combination. Screen dimensions and placement should suit the room, viewing distances and content. Ask the production team to recommend the appropriate screen specification rather than selecting by size alone.

Collect presentations and videos in advance, confirm the required format, and test them on the event system. Agree who will advance slides and switch between presentations. A confidence monitor may help speakers follow their material without turning away from the audience.

4. Match the microphones to the meeting format

A presenter, panel discussion and delegate meeting have different audio requirements. List the number of presenters, panel members and delegates who need to speak, and whether audience questions will be taken.

For formal discussions, consider whether a chairman-and-delegate conference microphone system is appropriate. For presentations, agree the combination of podium, handheld or wearable microphones with the production team. Check microphone placement, sound coverage and the audio feed for any remote participants during the rehearsal.

5. Confirm hybrid and multilingual requirements

If speakers or guests join online, specify the meeting platform, who hosts the session, and how remote speakers will hear the room and appear on the display. Test the venue internet connection and the complete audio and video path before the event.

If interpretation is required, share the languages, interpreter arrangements and number of listeners. Coordinate interpretation equipment, audio feeds and any online language channels as part of the same technical plan.

6. Allow time for setup, testing and rehearsal

Agree a production schedule covering delivery, installation, testing, rehearsal, live operation and dismantling. The rehearsal should check presentation files, videos, microphones, remote connections and the transitions between agenda items.

Ask who will operate each system during the programme, how last-minute changes will be communicated, and what contingency arrangements are included. Do not assume that equipment rental automatically includes technicians for the full event duration; confirm the agreed scope in the proposal.

7. Compare complete scopes when reviewing quotes

Compare proposals against the same brief. Check equipment specifications, quantities, transport, setup, technician coverage, rehearsal time, event operating hours and dismantling. Identify venue dependencies and any optional items.

A useful proposal explains how the systems work together and what the organiser needs to provide. This makes it easier to evaluate the production approach and clarify costs before confirming the booking.
